Features
Kessa features for independent liquor and vape stores
Kessa reads every distributor invoice, catches the costs that moved, and shows your true margin per item, beside the POS you already have.

Managing costs
- Invoice reading
Every distributor invoice read line by line, from a staff photo, a PDF, a Fintech file, or an invoice forwarded by email.
- Price increase alerts
Any cost that went up is flagged on the invoice line before you pay, and once a week Kessa texts you the costs that moved.
- True margin per item
Margin worked out from what the distributor actually billed, not the last cost someone typed in.
- Low-margin items
The items making the least for you, named, so you know what to look at first.
Pricing
- Reprice from cost
When a cost goes up, Kessa suggests a new shelf price from your target margin and you approve it.
- Prices back to your register
Price changes you approve go to your register, and nothing changes until you say yes.
- Flash sales and bundles
Run a short sale or a bundle offer and have it show up on the register.
Ordering
- Smart Order
One draft order per distributor, ready on that distributor's order day.
Receiving
- Delivery check-in
Staff mark every invoice line as here, new or not here, and every delivery is checked three ways, so shorts are caught at the door.
- Stock added on receipt
Units your staff check in can be added to your register's on-hand.
Inventory
- Shelf counts
Quick counts from staff phones, between customers.
- Mid-shift audits
Audits land in your feed the moment they are done, with every item counted and an export.
- Shrinkage shows up the same day
Counts against what should be there, so a gap shows up the day it happens.
- Dead stock alerts
Items that have stopped selling, named, so cash is not sitting on the shelf.
Employees
- Employee Hub
One app your team opens every shift, with nothing to install or learn.
- Opening and closing checklists
Daily checklists your staff tick off, visible to you as they finish.
- Activity feed
Every count, check-in and checklist in one live feed.
POS connections
- Clover
Connects straight to your Clover account and reads your sales, item catalog and on-hand counts. Checked-in deliveries, confirmed counts and approved prices can be sent back.
- Square
Connects straight to your Square account and reads your sales and item catalog. Checked-in deliveries, confirmed counts and approved prices can be sent back.
- Lightspeed
Connects straight to Lightspeed X-Series and reads your sales, item catalog and on-hand counts. Checked-in deliveries, confirmed counts and approved prices can be sent back.
- Any other register
Export a CSV or Excel sales file. Kessa maps the columns once and remembers them, and nothing reaches back into your system.
- Fintech
Fintech invoice files are read the same way as a PDF, line by line.
Why invoices, not just your POS
Your register knows what you sold. It only knows what a bottle cost if someone typed the latest cost in. Distributor costs change from one delivery to the next, so the margin your register shows can drift from the margin you actually make.
- The invoice is the bill. Kessa takes cost from the invoice itself, so margin reflects what you were charged.
- A price change is caught when the invoice arrives, before you pay it and before it shows up in your margin.
- You keep the register, processor and hardware you have. Kessa works beside them.
Questions
- Is Kessa a POS?
- No. Kessa works beside the register you already have. It connects to Clover, Square and Lightspeed, and works with any other register through a CSV or Excel sales file. Nothing on your counter changes.
- Which invoices can Kessa read?
- Photos your staff take of the delivery invoice, PDFs, Fintech invoice files, and invoices forwarded by email. Every line is read and matched to your products.
- Does Kessa change anything in my register?
- On Clover, Square and Lightspeed, a delivery your staff check in can add those units, a shelf count or recount you confirm can set that count, and a price you approve can be sent back. Stores on any other register send a sales file, and Kessa sends nothing back.
- How long does setup take?
- About 30 minutes. You connect your register and share your Fintech invoice files, and Michael takes it from there. Your data starts flowing the next day.
- Do my employees need to install anything?
- No. The Employee Hub opens on the phones your staff already carry, with nothing to install or learn.
- Where does my data live?
- In your own isolated tenant, encrypted at rest. Connections to Clover, Square and Lightspeed are stored encrypted and you can revoke them at any time. Every invoice, product and sales record exports to CSV.
